Quintech LLC ("Quintech", "we", "us" or "our") operates a website through which you can order and purchase videos for use at corporate, business and private events. This Privacy Policy explains what personal information we collect when you visit our website, use our chat assistant or order a Video, how we use and disclose it, how long we keep it, and the rights you have over it.
In this Policy, "personal information" means information that identifies, relates to, describes or could reasonably be linked with you. In the European Economic Area ("EEA"), the United Kingdom and Switzerland, it has the meaning given to "personal data" under applicable data protection law. Capitalised terms not defined here have the meaning given in our Terms of Use.
Advertising notice. We use advertising and retargeting technologies on our website. Under California law this counts as “sharing” your personal information for cross-context behavioural advertising. You can opt out at any time using the “Do Not Sell or Share My Personal Information” link on our website or by enabling a Global Privacy Control signal in your browser. See Section 7 and Section 11.
1. WHO WE ARE AND WHAT THIS POLICY COVERS
1.1 Controller. Quintech LLC, 5855 Doyle Street, Suite 108, Emeryville, California 94608, United States, is the controller of (and the business responsible for) the personal information described in this Policy.
1.2 What this Policy covers. This Policy applies to personal information we collect through our website, our automated ordering and video-generation service, our chat assistant, our marketing communications, and when you contact us. We collect this information for our own purposes and act as a controller in respect of it. We do not act as a processor or service provider on behalf of any other organisation.
1.3 What this Policy does not cover. This Policy does not cover the practices of third parties whose websites or services you reach through links on our website, or the practices of a venue, employer or event organiser that may separately collect information from you at an event where a Video is exhibited.
2. PERSONAL INFORMATION WE COLLECT
2.1 How we collect it. We collect personal information directly from you when you order a Video, use the chat assistant or contact us; automatically from your device when you use our website; and from our service providers, including our payment processor and our analytics and advertising partners.
2.2 What we collect and why. The table below sets out the situations in which we collect personal information, what we collect, why we use it, our lawful basis for doing so where applicable, and the categories of recipients to whom we disclose it.
Situation | What we collect | How we use it | Lawful basis |
|---|---|---|---|
When you browse our website | IP address, device and browser type, operating system, language settings, referring URL, pages viewed, session logs, activity timestamps | To deliver the website, keep it secure, detect and prevent fraud and abuse, and diagnose technical problems | Legitimate interests in operating and securing our website; legal obligation for security record-keeping |
Cookies and similar technologies | Cookie and device identifiers, advertising identifiers, clickstream and interaction data, approximate location derived from IP address | To measure how the website is used, and to deliver and measure advertising on third-party platforms | Consent for analytics and advertising cookies; legitimate interests for strictly necessary cookies |
When you order a Video | Your name | To accept and fulfil your order, generate and deliver the Video, issue receipts, provide support, and detect and prevent fraudulent orders | Performance of a contract; legal obligation for tax and accounting records; legitimate interests in fraud prevention |
When you contact us | Your name, email address, the contents of your message and any attachments you send | To respond to your enquiry, resolve issues, and keep a record of our correspondence | Performance of a contract; legitimate interests in responding to inquiries |
When we send you marketing | Your name, email address, and engagement data such as opens and clicks | To send you information about the Service and to measure whether our messages are useful | Consent where required; legitimate interests in marketing to existing customers |
2.3 Sensitive information. We do not seek to collect, and ask that you do not provide, any sensitive or special category information, including information revealing racial or ethnic origin, political opinions, religious beliefs, trade union membership, health, sex life or sexual orientation, biometric or genetic data, or government identification numbers, through the chat assistant, an order or otherwise. We do not use or disclose sensitive personal information for any purpose that would require us to offer a right to limit its use under California law.
2.4 Information about other people. Our Videos are not personalised with information about third parties. Please do not submit personal information about anyone other than yourself through the chat assistant or the ordering process.
3. HOW WE USE PERSONAL INFORMATION
3.1 Purposes. We use personal information for the purposes described in Section 2.2, and also to: operate, maintain and improve the Service; establish, exercise and defend legal claims; enforce our Terms of Use; comply with our legal, tax and accounting obligations; and respond to lawful requests from public authorities.
3.2 Aggregated and de-identified information. We may aggregate or de-identify personal information so that it can no longer reasonably be used to identify you, and may use and retain that information without restriction. Where we do so, we will maintain and use it in de-identified form and will not attempt to re-identify it, except to test that our de-identification measures work.
3.3 Legitimate interests. Where we rely on legitimate interests under Section 2.2, we have assessed that those interests are not overridden by your interests or fundamental rights. You may ask us for more information about that assessment, and you may object to that processing, as described in Section 12.
4. THE CHAT ASSISTANT AND AI PROCESSING
4.1 Automated interactions. Our ordering service and chat assistant are automated. When you use the chat assistant you are communicating with a software program and not with a natural person. Your messages are recorded, transcribed where applicable, stored and processed so that we can respond to you, take your order and keep a record of the interaction.
4.2 Third-party AI providers. To operate the chat assistant and to order Videos, we send your inputs to the AI model providers listed in our subprocessors list, who process that information as our service provider and processor under contract and are not permitted to use it for their own purposes.
4.3 Automated decision-making. Although our ordering process is automated, we do not make decisions producing legal effects concerning you, or similarly significantly affecting you, based solely on automated processing.
4.4 Please do not share confidential information. Do not submit confidential information, or information you would not want recorded, through the chat assistant. See Section 2.3.
5. COOKIES AND SIMILAR TECHNOLOGIES
5.1 Categories. We use: (a) strictly necessary cookies, which are required to operate the website, maintain your session and keep it secure; (b) analytics cookies, which help us understand how the website is used; and (c) advertising and retargeting cookies and pixels, which allow us and our advertising partners to show you advertising on other platforms and to measure its effectiveness.
5.2 Consent. Where required by law, we set analytics and advertising cookies only where you have consented through our cookie banner. You can withdraw or change your consent at any time through the cookie settings link on our website. Strictly necessary cookies are set without consent because the website cannot function without them.
5.3 Advertising partners. Our advertising and retargeting technologies include those mentioned in our subprocessors list and cookie policy. These partners may set their own cookies and receive information about your visit to our website, and may combine it with information they already hold about you. Their processing is governed by their own privacy policies.
5.4 Opt-out signals. We treat a Global Privacy Control or similar browser-based opt-out preference signal as a valid request to opt out of the “sale” and “sharing” of personal information for the browser and device on which it is enabled. See Section 7.
6. HOW WE DISCLOSE PERSONAL INFORMATION
6.1 Service providers. We disclose personal information to service providers who perform functions on our behalf, including hosting, content delivery, payment processing, AI model provision, email delivery, analytics, customer support and security. They are engaged under written contracts that require them to process personal information only on our instructions and for the purposes we specify, to keep it secure, and to delete or return it at the end of the engagement.
6.2 Advertising partners. We disclose the identifiers and online activity information described in Section 2.2 to advertising platforms as described in Section 7.
6.3 Legal and safety. We may disclose personal information where we believe in good faith that it is necessary to comply with a law, regulation, subpoena, court order or lawful request from a public authority; to enforce our Terms of Use; to detect, prevent or address fraud, security or technical issues; or to protect the rights, property or safety of Quintech, our users or the public.
6.4 Corporate transactions. If we are involved in a merger, acquisition, financing, reorganisation or sale of all or part of our assets, personal information may be disclosed to the counterparty and its advisors, subject to confidentiality protections, and may be transferred as part of that transaction. We will notify you of any such transfer that materially changes how your personal information is handled.
6.5 No other disclosure. We do not disclose your personal information to any other third party for that third party’s own independent purposes, except as described in this Policy.
7. ADVERTISING, “SALES” AND “SHARING”
7.1 We do not sell your information for money. We do not sell personal information in exchange for monetary consideration.
7.2 We do share information for advertising. We use advertising and retargeting technologies that disclose identifiers, cookie and device identifiers, internet and network activity information and approximate location derived from IP address to Meta, which is the only advertising platform we disclose this information to.
7.3 How to opt out. You can opt out at any time by: (a) using the “Do Not Sell or Share My Personal Information” link on our website; (b) enabling a Global Privacy Control signal in your browser or extension; or (c) declining advertising cookies in our cookie banner. We do not charge you, degrade the Service, or otherwise treat you differently because you opt out.
7.4 Minors. We do not knowingly sell or share the personal information of consumers we know to be under 18 years of age. See Section 13.
8. HOW LONG WE KEEP PERSONAL INFORMATION
8.1 Retention criteria. We keep personal information for as long as necessary for the purposes described in this Policy, and then delete or de-identify it. In setting retention periods we consider how long we need the information to provide and support the Service, our legal, tax and accounting obligations, and the period during which a claim could be brought.
8.2 Retention periods. Our current retention periods are set out below.

9. HOW WE PROTECT PERSONAL INFORMATION
9.1 Safeguards. We maintain technical and organisational measures designed to protect personal information against accidental or unlawful destruction, loss, alteration, unauthorised disclosure or access. These include encryption of data in transit, access controls limiting access to personnel who need it, logging and monitoring, and contractual security obligations on our service providers.
9.2 No guarantee. No method of transmission or storage is completely secure. While we work to protect your personal information, we cannot guarantee its absolute security, and you share information with us at your own risk.
10. INTERNATIONAL TRANSFERS
10.1 Where we operate. We operate from the United States, and personal information we collect is stored and processed in the United States and in any other country where our service providers operate. Those countries may not provide the same level of data protection as your own.
10.2 Transfer safeguards. Where we transfer personal information out of the EEA, the UK or Switzerland, we rely on the European Commission’s Standard Contractual Clauses, the UK International Data Transfer Addendum, and the Swiss equivalent.
11. YOUR RIGHTS IN CALIFORNIA
11.1 Application. If you are a California resident, applicable law gives you certain rights over the personal information we collect about you. This part of this Policy describes those rights and how to exercise them.
11.2 Your rights. Subject to verification and to the exceptions permitted by applicable law, you may ask us to: tell you what personal information we hold about you, where it came from, why we collected it and to whom we disclose it; give you a copy of it; delete it; correct it; and stop selling or sharing it for advertising purposes.
11.3 Sale and sharing. We do not sell personal information for money. As described elsewhere in this Policy, we may share personal information with advertising platforms for cross-context behavioural advertising. You may opt out at any time using the opt-out link on our website, by enabling a Global Privacy Control signal, or by declining advertising cookies. We do not knowingly sell or share the personal information of consumers we know to be under 18.
11.4 How to exercise your rights. Please contact us using the details given in this Policy. Because we operate online and deal with you directly, email is our designated method for submitting requests.
11.5 Verification and timing. We may ask you for information to verify your identity, and may decline a request we are unable to verify. We will respond within 45 days, and may extend that period by a further 45 days where applicable law permits, in which case we will tell you.
11.6 Authorised agents. You may use an authorised agent to make a request on your behalf. We may require proof of the agent's authority and may ask you to verify your identity with us directly.
11.7 No discrimination. We will not discriminate or retaliate against you for exercising any of these rights.
12. YOUR RIGHTS IN THE EEA, THE UNITED KINGDOM AND SWITZERLAND
12.1 Application. If you are in the EEA, the United Kingdom or Switzerland, applicable data protection law gives you the rights described below. Quintech is the controller of your personal information.
12.2 Your rights. Subject to the conditions and exceptions in applicable law, you may ask us to give you access to your personal information and a copy of it, to correct or complete it, to erase it, to restrict how we use it, or to provide it in a portable format. You may also object to processing we carry out on the basis of our legitimate interests, object at any time to direct marketing, and withdraw any consent you have given, without affecting the lawfulness of what we did beforehand.
12.3 How to exercise your rights. Please contact us using the details given in this Policy. We may ask you for information to verify your identity, and will respond within the period required by applicable law.
12.4 Providing your personal information. You are not required to give us personal information, but we may be unable to accept or fulfil an order without it.
